Data sources & accuracy
How the list is made, in plain language.

Clackamas County Clerk — Recording. Every ownership transfer is a deed recorded with the County Clerk. The county indexes each document (document number, recording date, document type, grantor, grantee) within about two business days. We obtain the recorded-document index under Oregon's Public Records Law (ORS 192.311–192.478) on a recurring schedule.
Clackamas County Assessor & Tax Collector. Assessor records give us the property's situs address, the owner's tax-statement mailing address, year built, square footage and property class. We obtain them under the same law and join them to the recorded deeds.
We do not use data from real-estate listing sites, from GIS products with restrictive licenses, or from national data brokers.
What we do to each record
- Keep only ownership transfers. Deeds of trust (mortgages), reconveyances, assignments, liens, easements, affidavits and similar documents are removed.
- Remove non-sales. Transfers with no stated consideration, quitclaims without consideration, transfers between people who share a surname, and transfers into the owner's own trust are removed or flagged.
- Clean names. "PETERSEN KYLE J & PETERSEN AMANDA L" becomes "Kyle & Amanda Petersen" with a ready-to-use salutation. Companies, trusts, banks and government buyers are labeled as such.
- Standardize addresses. Street suffixes and directionals follow USPS abbreviations; ZIP and city are filled from our Clackamas County table when the county leaves one blank.
- Score and annotate. Each record gets a 1–100 lead score (owner-occupied, arm's-length purchases by individuals score highest) and notes such as new-construction, investor, foreclosure or absentee-mailing.
- Never repeat. We track every record delivered to every customer; a late-arriving record is delivered once, the following Monday.
What can go wrong
- Counties make indexing errors and record documents late. A small share of records each week will be mis-typed or belong to the prior week.
- Deeds state the "true consideration," but some say "other value" or $0 even for real sales; those records are flagged rather than dropped.
- Mailing addresses come from the deed or the assessor as of recording. Owners who move in later may have the property address on file; absentee owners may not. Use NCOA/CASS processing if your mailer requires it.
- Our rules occasionally misclassify an unusual document. Tell us and we fix the rule for everyone.
Freshness
Your Monday list contains deeds recorded during the prior week plus any late arrivals. Most records are 3–10 days old on delivery. If the county's weekly file is late, the list is held rather than sent short, and you receive a combined list the following week.
